GUEST TERMS & CONDITIONS

These Guest Terms & Conditions (“Terms”) apply to all direct reservations made with Odin Living KK (“Odin Living”) for villas, residences and other accommodation properties managed by Odin Living (each a “Property”).
Odin Living acts as the appointed property manager and letting agent on behalf of the relevant Property Owner. The accommodation contract is between the Guest and the Property Owner.
By making a reservation, paying a deposit or other amount toward a reservation, checking in, or occupying a Property, the Guest acknowledges and agrees to these Terms. 

1. Reservations & Confirmation

All reservations are subject to availability and acceptance by Odin Living. 
A reservation is considered confirmed only once the required payment has been received and written confirmation has been issued by Odin Living.
Odin Living reserves the right to decline a reservation where reasonably necessary for operational, safety, legal or property-related reasons.
All accommodation rates are quoted in Japanese Yen (JPY) unless otherwise stated.

2. Payment Terms

For reservations made more than 60 days prior to arrival: 

  • A 20% non-refundable deposit is required to confirm the reservation.
  • The remaining 80% balance must be paid no later than 60 days prior to arrival.

For reservations made within 60 days of arrival:

  • Full payment is required at the time of booking, unless otherwise agreed in writing by Odin Living.

Failure to make payment by the applicable deadline may result in cancellation of the reservation and release of the Property back into the booking inventory.

3. Cancellation Policy

The following cancellation charges apply:

Cancellation charges apply regardless of the reason for cancellation, including illness, injury, flight cancellation or delay, visa issues, travel disruption or adverse weather.
Guests are strongly encouraged to obtain comprehensive travel insurance covering cancellation, medical emergencies and travel disruption.

4. Guest Information

Guests must provide all information reasonably required by Odin Living for accommodation registration and check-in, including where applicable: 

  • Full legal name
  • Nationality
  • Residential address
  • Passport information
  • Arrival and departure information
  • Number and ages of children

Guests are responsible for ensuring that all information provided is complete and accurate.
Failure to provide legally required guest information may result in check-in being refused.

5. Occupancy & Visitors

The maximum occupancy stated for each Property must not be exceeded.
Only registered Guests may stay overnight at the Property.
Additional overnight guests or visitors require prior approval from Odin Living. Odin Living reserves the right to refuse access to unregistered persons where necessary for property management, security or compliance purposes. 

6. Children

For the purposes of occupancy and applicable charges: 

  • Children aged 6 years and under are classified as children.
  • Guests aged 7 years and above are counted as adults.
  • Baby cots may be available for infants under 2 years of age, subject to availability.

This reflects the classifications in the existing Guest Terms.

7. Check-In & Check-Out

Standard check-in is from 3:00 PM.
Standard check-out is by 10:00 AM.
Early check-in and late check-out are subject to availability, must be approved in advance and may incur an additional charge.

8. Security Deposit / Credit Card Pre-Authorisation

Odin Living reserves the right to place a pre-authorisation hold of up to JPY 1,000,000 on a valid credit card.
The security hold may be used toward costs arising from: 

  • Damage to the Property or its contents
  • Missing or lost items
  • Excessive or exceptional cleaning
  • Unpaid charges
  • Breaches of these Terms or applicable Property Rules

Where the actual cost exceeds the amount held, the Guest remains responsible for the outstanding amount.

9. Property Care & Damage

Guests must take reasonable care of the Property, furniture, appliances, equipment and other contents. 
Any damage, breakage, loss or malfunction must be reported to Odin Living as soon as reasonably possible.
Guests may be charged the reasonable and documented cost of repair, replacement, specialist cleaning or other loss directly resulting from damage caused by the Guest or members of their party.
Odin Living may inspect the Property and issue an invoice for damage identified following departure.

10. Smoking & Vaping

Smoking and vaping are strictly prohibited inside all Properties unless explicitly stated otherwise. 
This includes cigarettes, cigars, e-cigarettes, vaping devices and heated tobacco products.
A breach may result in additional cleaning, deodorisation, restoration or other charges and, in serious cases, termination of the stay.

11. Pets

Pets and other animals are not permitted at the Property unless prior written approval has been obtained from Odin Living.
Where an animal has been approved, additional conditions may apply.
Service or assistance animals will be handled in accordance with applicable requirements and any separately agreed conditions. 

12. Parties, Events & Noise

Parties, weddings, commercial functions, large gatherings and other events are prohibited unless expressly approved in writing by Odin Living. 
Guests must respect neighboring properties and avoid excessive noise or other behavior that may cause disturbance.
Serious or repeated violations may result in termination of the stay without refund where permitted by law.

13. Housekeeping

Housekeeping services vary according to the Property, length of stay and service package included in the reservation. 
The applicable housekeeping schedule will be confirmed as part of the reservation or pre-arrival information.
Guests must provide reasonable access to the Property for scheduled housekeeping services.
Additional or upgraded cleaning services may be available upon request, subject to availability and additional charges.
Guests are responsible for securing cash, jewelry and other valuables during their stay.

14. Special Requests

Bedding configurations and other special requests should be submitted at least 14 days prior to arrival.
Requests submitted less than 14 days before arrival are subject to availability and cannot be guaranteed. 

15. Concierge & Third-Party Services

Odin Living may assist Guests with arranging services provided by independent third parties, including: 

  • Airport transfers
  • Vehicle or equipment rental
  • Ski or snowboard services
  • Restaurant reservations
  • Spa and wellness services
  • Other activities or concierge arrangements

Unless expressly stated otherwise, these services are provided by independent third-party providers and are subject to their own terms and conditions.
To the maximum extent permitted by applicable law, Odin Living is not responsible for acts, omissions, delays, cancellations or service failures attributable to independent third-party providers.

16. Club House Access

Where Club House access is included with a particular Property, the applicable access entitlement will be confirmed at the time of booking. 
Access is subject to operating hours, capacity, facility availability, safety requirements and Club House rules.
Facilities and operating hours may change due to operational, maintenance or safety requirements.
Additional users may require advance registration and may incur additional charges.

17. Utilities, Internet & External Conditions

Odin Living will use reasonable efforts to ensure the Property and its services are available as represented.
However, to the extent permitted by applicable law, Odin Living is not responsible for interruptions or circumstances outside its reasonable control, including: 

  • Electricity, water or utility interruptions
  • Internet or telecommunications outages
  • Severe weather or natural disasters
  • Road or transportation disruption
  • Ski resort closures or operational changes
  • Government restrictions
  • Acts or omissions of independent third-party providers

18. Force Majeure

Odin Living shall not be liable for failure or delay in performing obligations where caused by circumstances beyond their reasonable control, including natural disasters, severe weather, government restrictions, war, civil disturbance, pandemics, transportation disruption or utility failure. 

19. Liability

To the maximum extent permitted by applicable law, Odin Living shall be liable for indirect or consequential loss arising from a Guest’s stay. 
Nothing in these Terms excludes or limits liability that cannot lawfully be excluded or limited under applicable law.
Subject to the above, the maximum aggregate liability arising from a reservation shall not exceed the accommodation amount actually paid for that reservation.

20. Illegal or Dangerous Conduct

Illegal activity, interference with fire or safety equipment, deliberate property damage, threatening behavior or conduct that creates a serious safety risk may result in immediate termination of the stay and notification to the relevant authorities where appropriate. 

21. Governing Law & Jurisdiction

These Terms and all reservations are governed by the laws of Japan.
Any dispute arising from or relating to these Terms or a reservation shall be subject to the jurisdiction of the competent courts in Japan.
